Wow. I'm really surprised how fast AI is getting adopted at work

Folks - I work at a good-sized (3000 employees) firm that produces refrigeration and HVAC products for big industry. I am the head of engineering for HVAC products. We make large chillers, heat pumps, package units, split units, etc. Most of the products are made-to-order from our factories in Europe, Asia and the Americas. There is a lot of engineering, testing, and validation of our products done every day.

I was really skeptical of AI like ChatGPT initially, and I thought it wouldn't be useful to us because I assumed it would be just "write some bad poetry" from prompts. I was wrong. I put up a couple of work instances of OpenAI and Jasper at work. The stuff is getting used more and more everyday and I'm blown away with the difference it is making to our operations. Here are some examples -

1. Our testing engineers are writing the whole data analysis and results of specification testing using ChatGPT now instead of manually making these reports. This is saving a couple hours of work per week for each of them (and we have 40 test engineers) and making it a lot more enjoyable for them because they can now focus on specification testing instead of writing reports. It also saves our testing resources for the days when we actually need them.

2. We make custom designs for a lot of our clients based on their specifications. Now ChatGPT is able to take all our specification sheets, make a nice list of them, and send them over to our clients. The generation and sending of these sheets are now automated. This is a huge difference for us, since we generate 500 of these a week.

3. ChatGPT has helped our purchasing and sourcing process. ChatGPT takes these sheets and generates a list of specification sheets for sourcing. This list is sent to all our Tier 1 and Tier 2 suppliers. Using the procurement sheet, it also makes a nice email that goes out. It also generates the PO that we send to them once we decide on buying something.

4. Our most senior engineer is using ChatGPT to create custom wiring and plumbing diagrams for specification testing. This is saving our clients a lot of money because we can use off-the-shelf machines to do the testing instead of custom-made machines that we used to make earlier.

5. We now use the ChatGPT plugin to put all our bills in QuickBooks. This saves our procurement and financial teams a lot of time. It also helps us keep track of expenses a lot faster.

6. Our factory folks are using it to create manufacturing instructions based on the spec sheets. It has saved them hours of work and helped reduce errors in manufacturing.

7. Our global logistics and supply chain team uses it to make customs documentation, customs clearance, and shipping documentation.

8. ChatGPT is also used by our finance team to generate the invoices to our clients. It also helps our procurement team find the correct tier 1 and tier 2 suppliers for each part.

9. We are also using it to create custom training videos for our engineers. It's helped us train the engineers a lot more quickly now.

10. Customer support is using it to create all the instructions on how to install and operate units for the end customers. It also helps customer service answer questions a lot faster.

11. Our sales engineering uses it to generate proposals for our clients. It also generates the sales sheets, and technical data sheets.

12. It helps our sales team create nice Powerpoints and presentations that look really professional. It also helps them make sales sheets.

It's now to the point that I've hired a couple of people to figure out how to use these tools to automate all our processes. I really feel this is where we could improve a lot. We are definitely automating huge parts of our supply chain and procurement.

I was also pleasantly surprised with the speed at which our team was able to adapt these new tools. They all picked it up in less than 2 weeks. They are able to put these tools to use almost instantly and it is now saving us so much time.

I'm really excited to see where this takes us. If you're on the fence about AI at work, just try one of the work instances. It will really help.
